Invoices and quotes
Create, edit and send professional invoices and quotes, record payments, and download or print PDFs.
Create an invoice or quote
There are two ways, and you can mix them:
- Ask nancit in the chat at the bottom of the invoice or quote: “add their email”, “add a line for hosting, R500”, “make it due in 14 days”. The change appears in the form straight away, and Undo on nancit’s reply puts it back. From the main chat, nancit shows a preview first; choose Use draft to open it.
- By hand: go to Sales › Invoices or Sales › Quotes and create a new one. Fill in the form; the preview updates as you type.
What goes on the document
Your business details, logo and bank details come from Admin, so set them up once. Each document has a customer, line items with quantity, price and VAT, due date, payment method and notes. Every new document gets a customer reference automatically (for example REF-00104), which you can change.
Invoices and quotes can be in US dollars, British pounds or South African rand.
Save, download and print
- Save document keeps it in your records and in Documents.
- PDF / Print opens your browser’s print window, where you can save as PDF or print.
- Use Merge PDFs to combine an invoice or quote with other PDFs, such as a proposal, with page numbers.
Payments
When a client pays, choose Record payment for the invoice (in Sales › Invoices or Finance). Enter the amount and date received. Partly paid invoices show what is still owed, and everything adds up in Finance. Quotes can’t take payments; turn the quote into an invoice first.
As a guest
Without an account you can still create invoices and quotes, ask nancit to draft them, and download or print them. They are temporary: sign up to save them to your records.
