AI workers and workflows

Hire AI workers for repeat tasks and set up workflows that act when something changes in your records.

AI workers

A worker is like an AI employee with one job. You give it a job description, working hours and the tools it may use, and it gets on with it and writes you a report. For example:

Open Workers and choose Hire worker, or ask nancit to set one up. You can Start work at any time, Suspend or Reinstate a worker, and Retire it when it’s no longer needed. Each worker’s Work history keeps its reports.

Workers can read your records and, if you allow it, your email and calendar. They save email drafts for you to check, but never send anything themselves, and they never change your records. Workers use your AI credits and are available on plans that include them.

Desired outcome, skills and coaching

A worker’s page has Details, Reports, Skills and Coaching tabs.

The Coaching tab lists the current coaching notes and keeps a history of every coaching, upskilling and change, with what changed. You can also ask nancit to coach or upskill a worker in the chat.

Workflows

Workflows (in Admin › Workflows) do something automatically when your records change: “when a client becomes Active, send a welcome email” or “when a lead is created, add a note with next steps”. A workflow can set a field, create a related record, add a note, send an email or ask a worker to start work.

Build a workflow step by step with the simple builder, or open the diagram to see it from start to end. Admins can also ask nancit to set one up.

Opening a worker shows setup on the left and Reports on the right. Use Hide history in the Reports header to give the report more room; Show history brings the history panel back. This keeps your selected report and any setup edits. Work history lives inside Reports: select a run to read its result, status and credit use. Details, Skills and Coaching stay available while you read. While a new run is working, the previous finished report remains visible with a progress notice. On smaller screens the report appears first, with a Work history picker.

In Details, At offers Pick a time or Not applicable. Pick a time opens a clock picker in your time zone. Timed schedules require a time; Only when I ask, Every hour and email rules use Not applicable. Every hour runs on the hour. Selecting Not applicable does not silently change the Works schedule.

Custom working rules

Choose Custom in Works, then configure selected days and a time, or a new inbox email. You can describe the rule to nancit and review the exact conditions, or enter them yourself. Sender is an exact email address; subject matches the text you enter, ignoring capital letters. All entered email conditions must match. Empty filters mean any new inbox email. Other triggers and email-body conditions are not supported yet; nancit will ask instead of saving an approximation.

Email rules need a personal worker with email access and a connected Inbox. They check about every ten minutes, process only new mail still in Inbox and remember matching messages so they do not repeat them. Saving a different rule or reinstating a worker starts from now; older messages are not processed. Suspend pauses checks and cancels unstarted email work, while a run already underway can finish. Matching messages are grouped into queued reports; reports wait when daily credits are depleted. Polling alone uses no AI credits. Details shows the last successful check and connection/check errors. Organisation workers use calendar schedules or existing record workflows, never a personal inbox rule.

Worker notifications

The notification bell at the bottom right shows your worker activity and report summaries. Open it to expand the notification center, see key findings, filter unread activity or mark items as read. View full report opens that exact run inside the worker. Worker pop-ups stay visible until you close them or open their report; additional pop-ups wait rather than replacing them. Closing a pop-up keeps it in the center; dismissing a notification does not delete its report. Personal reports stay private, and organisation reports are for admins. Notifications appear while nancit is open.

Choose your notifications

General settings → Notifications controls worker updates and pop-ups separately from worker reports by email. Email delivery needs both your report-email preference and the worker’s “Email their report” option. The preference is checked when the run starts. Turning email delivery off keeps the report available inside Workers.
